The following information as well as the terms and conditions stated below are the contractual basis for participation in the 1st ITME AFRICA 2020 - International Textiles and Textile Engineering Exhibition.
INDIA INTERNATIONAL TEXTILE MACHINERY EXHIBITIONS SOCIETY (INDIA ITME SOCIETY)
The authority for execution of the regulations and guidelines of ITME AFRICA 2020 and all other matters with regard to the Exhibition is that of the India ITME Society referred to for brevity as the “Exhibition Authority”. The Exhibition Authority will carry out its responsibilities and obligations through its Chief Executive Officer viz. Executive Director and Office-Bearers with the support of the Steering Committee and Sub-Committees and other authorised representatives.
The Exhibition Authority is vested with full authority to enforce all regulations pertaining to the Exhibition. Its decision will be final and binding in all respects and for all concerned.

The International Exhibition of Textile, Textile Engineering, Financial institutions and allied segment aims at bringing face to face under one roof buyers and sellers in a creative platform for mutual advantage and commercial interaction. The Exhibition is a vehicle to put on Show the most up-to-date products and services to a specialized and invited audience to benefit the order books of the exhibitors. Thus in ITME AFRICA 2020 the exhibitors will endeavor.
The event is organised by India ITME Society, an apex non-profit industry body in India and co-organised by Ethiopian Chamber of Commerce and Sectoral Associations (ECCSA).
‘ITME-AFRICA 2020’(14th to 16th February 2020) in Addis Ababa, Ethiopia shall become the focal point and catalyst for economic growth, employment generation and technology up-gradation in Ethiopia and other countries in Africa.
This business shall showcase complete range of textile and textile engineering with a total of 27 chapters. 4 broad categories are covered Textile, Textile Engineering, Financial institutions and allied segment.
Ethiopia being seat of European Union and one of the major countries in the continent of Africa with growing textile industry shall host this 1st edition of event. This exhibition shall offer sourcing solution, joint venture and investment opportunity not only to Ethiopia but to all of Africa.
This event shall bring multiple growth effects for not only to the textile industry but also the airlines, hotels, transport, tourism etc. and shall contribute to the development of the region in many ways.

Timings: 9:00 am to 05:00 pm
During the event, exhibitors can enter the exhibition hall 1hour before opening time every day and they can exit one hour after the closing time on every day.
Trade and industry visitors, technicians, technical students, mill executives, workmen, government representatives, representatives of financial sector and other visitors are allowed entry on identity supplied by the Exhibition Authority from 09.00am hours to 5.00pm during the exhibition period.
Admission will be regulated during business during business hours, by pre-registration through internet-App/invitation cards/on site-registration by presentation of business/identity card/filling visitor registration form.
Children/students below 16 years of age will not be permitted entry to the exhibition halls or exhibition area during setup days, show days & dismantling days under any circumstances; even if they are accompanied by exhibitor/parents/guardian.

Shell scheme booth: US Dollars 315 per sqm (minimum booth size 9 sqm)

Foreign firm /organization not registered or incorporated in India can pay in USD tariff
Indian agent / consultant / distributor of foreign companies displaying / representing foreign products can pay in USD tariff.
India agent / consultant / distributor of foreign companies displaying / flyers/ brochures/ any printing materials will pay the rental charges 50:50 in Indian rupees and USD for the total space booked by them.
Industry association / textile R & D institute / textile educational institution / embassy / trade center representing their countries in India displaying distributing flyers / brochures any printing materials for their overseas companies will pay 50:50 in Indian rupees and USD for the total space booked by them.
Booth will be allotted only upon receipt of 100% of space by 30th September 2019
The requested size of the booth will be allocated on first come first served basis. All booths will be handed over to Exhibitors on Wednesday, February 12, 2020 at 08:00 am
NOTES
Exhibitors interested in participation are requested to send their dully filled-in online application form with participation fees as mentioned in the application form, directly to India ITME Society by RTGS/NEFT/Swift Transfer as per details given in the online application form.
Online application form is available on our website can be submitted latest by 31st May 2019 along with 50% advance space rentals.
The participants will be provided with the booth package of 9sqmtr - 1 Info desk, 2 chairs, 2 spot light, one power socket (220v), fascia board, and one waste basket. And additional requirement for furniture/ product display equipment’s etc. will have to be arranged at extra cost.
While 75% cancelation charge will be levied on the application amount paid, if participation is withdrawn on or after 30th September, 2019 and before 31st December 2019. Cancelation after that shall forfeit the full amount.
Any dispute or difference arising out of this Terms and Conditions of participation shall be referred to the Steering committee of the Exhibition authority, whose decision shall be final and binding.
Allocation of the position and dimensions of the stalls will be decided by the Exhibition Authority. Allocation of stalls is on first come first serve basis, along with the payment schedule mentioned in Regulation. Kindly book early to get allocation of your choice. Open sides will be allocated subject to the availability in the layout plan.
The Exhibition Authority reserves the right to re-allocate the space allotted to the exhibitor at any time prior to the commencement of the Exhibition, should exceptional circumstances warrant such change to the location, size and dimensions of the stall. The Exhibition Authority further reserves the right to transfer or close entrances and exits of the exhibition stalls and/or removes any of the proposed amenities and undertakes any structural alterations. Such re-allocations will be at the absolute discretion of the Exhibition Authority and the exhibitors shall have no claim for compensation as a result of the re-allocation as above.
Booth will be allotted only upon receipt of 100% of space by 30th September 2019.
The exhibitor must confine their exhibits within the area allocated to them. No encroachment on corridors, free space or other facilities provided by organizer will be permitted. Each exhibitor shall follow the center of the markings on the floor for the common sides and outside age for open sides.
The exhibitor is required to exhibit the approved goods and to man the stall with competent personnel during the hours of the Exhibition.
The exhibitor will be liable for any damage to walls, floors etc. of the structures in which the exhibits are housed.
Except for basic lighting provided by the Exhibition Authority, all decorations, furnishings, fittings, display, stand lighting etc. will have to be carried out and procured by the exhibitor under bare space.

Addis Park can supply up to 380v, if the confirmation from the exhibitors to be submitted 30 days prior to opening the exhibition at extra cost.

Wednesday, February 12, 2020 and Thursday, February 13, 2020 from 08:00 am to 04:00 pm.
Possession of the stall would be given only after obtaining No Dues Certificate from ITME Exhibition Authority.
All the exhibitors must submit and get approved their customized stall from the Architect appointed by Exhibition Authority, as per Dos’ and Don’ts which will be intimated later.
NOTE :
Considering that a period of 2 days has been provided in the pre exhibition period for bringing in and installing exhibits which can be displayed only in static mode. It is highly desirable on the part of the exhibitors to plan arrival of exhibit cases well in advance at the Millennium Hall, Addis Ababa, Ethiopia. The exhibitors are also advised to discuss and plan their schedules of bringing in exhibits with the approved clearing and forwarding agents to ensure timely arrival of exhibits.
Exhibitors will not be permitted to fasten machines or any part of display to walls, columns or floor. Foundations, anchorage, bolt holes and holes of any type shall not be drilled in the exhibit floor, columns or walls without the specific written permission of the venue Authority. Display of machinery on static mode without fuel and need to cover the space under the machines and automobiles to protect from leakage of lubricants.
Exhibitors’ staff should wear proper identification on their person and shall produce whenever demanded by the authorized security personnel or representative of the ITME Secretariat any time during the construction, exhibition or dismantling periods. Anybody found to be without proper identification or of dubious character or behaving in a drunken or disorderly manner, or committing an offence, trespass or rude behavior shall be removed forthwith from the Exhibition area.
Unloading of exhibit cases and their handling at the exhibition site is to be arranged by the exhibitors themselves through official agency. It will be the responsibility of the exhibitors to see that the exhibit cases are brought as per the schedule to be given and ensure that the work of installing and dismantling the exhibits/stalls is carried out within the stipulated time.

Ethiopians Chamber of Commerce and Sectorial associations (ECCSA) will assist for processing and obtaining Visas to be secured prior to arrival for those exhibitors and their representative’s with embassies in their country of residence or visa on arrival for those who do not have an Ethiopian embassy in their county of residence, as long as they are found eligible.
An official catalogue of exhibitors and exhibits will be published in English for use by exhibitors and visitors of ITME AFRICA 2020.
Exhibitors applying for shell scheme construction would be provided a fascia indicating company name and booth number. Fascia will be provided to principal exhibitor only and not for their co- exhibitors/distributors/agents. The exhibitor will not be permitted to put up any such board of his own outside or at the entrance of the stall. However, the exhibitor will be free to put up his company’s/firm’s logo, monogram or name inside the stall.
Dividers or partitions will not be allowed in front of the stalls or the border lines of the stalls or in front of the passages/alleys.
Display boards and panels should be kept inside the stall subject to the condition that the dimensions will not exceed 1.5 meters in length, width or height.
Use of bright and/or coloured decorative lights, neon signs of any size, shape or colour (including those depicting exhibitor’s name or logo) or any other similar electrical decorative materials is strictly forbidden.
Use of any type of loudspeakers or musical instruments in the stalls is forbidden.
Exhibitors are permitted to set up office/consultation cabins but the height of the office cabins should not obscure the display of adjacent stalls.
Read Instruction
All business activities of an exhibitor must be conducted within the exhibitor’s leased exhibit area. Catalogues, pamphlets and publications pertaining to an exhibitor’s products, samples or souvenirs may be distributed by the exhibitor only from within his own exhibit area. Appropriate literature may be placed in the ITME AFRICA 2020 Press Room for distribution. No exhibitor shall distribute literature pertaining to articles or machines not included in the Exhibition except that which describes machines or products manufactured by an exhibitor.
Furniture
The exhibitors will make their own arrangements for hiring of furniture. The Exhibition Authority will make available a list of approved contractors from whom the furniture can be hired at exhibitor’s own responsibility.
Storage, Removal of Waste Cleaning
Stacking containers facilities within exhibition center in not available.
The Exhibition Authority will arrange to clean the Exhibition Hall and collect waste material after the Exhibition hours from the exhibitors’ stalls.

The Exhibition Authority shall have exclusive right to take photographs and films of the Exhibition Stalls. Prior permission of the Exhibition Authority will be essential for taking photographs and films by exhibitors and others.
Meeting rooms/seminar hall will be available for seminars, trade meets or for screening of films and slides. The charges per hour for booking of the meeting rooms/seminar hall will be intimated to exhibitors in due course, if any.
The Exhibition Authority provides a day and night security service for the general surveillance of the Halls. Exhibitors must arrange their own insurance, to cover all stages of the event and be particularly careful to pack light, portable exhibits . Exhibitors displaying easily removable objects are required to guard the stall from the opening time and till the very last minute of the evening closure. Easily removable exhibits or valuables must be locked in the evening in drawers or cupboards. Specific requests for a security service at the tariffs in force can be submitted to the Exhibition Authority for assistance.
The Exhibition Authority will make necessary arrangements for fire prevention equipment’s within the Exhibition Hall. The exhibitors are expected to acquaint themselves with the positions of the nearest fire hydrants. Exhibitors are, however, advised to take due precautions & provide necessary equipment in their own stalls. Exhibitors should also install Guards or Protector on machines/exhibits during demonstration to avoid injury to visitors. Fire Tenders with Fireman will be on duty near the exhibition halls during Setup, Exhibition & dismantling period.
Note:- Smoking/ Tobacco consumption (Pan, Gutka etc.) is strictly prohibited inside the Exhibition venue during set-up, show days and dismantling periods.
Consumption & serving of Alcohol/alcoholic beverages are prohibited inside the exhibition venue.
Insurance cover will be taken by the Exhibition Authority for the exhibition halls in general. Exhibitors will have to make arrangements for insuring their individual stalls/machines/any other material. Third party insurance, accident insurance of exhibitor’s personnel, handling damage insurance etc. should be covered by the exhibitors.
Arrangements will be made with luxury hotels, deluxe hotels, first class hotels, service apartments and budget hotels to offer accommodation at concessional rates to exhibitors, visitors and guests to the exhibition for the duration of their stay. Accommodation is also available at other hotels in the city. Official Travel Agents will be appointed to provide required services for convenience of participants.
The Exhibitors will be issued exit passes to facilitate the movement of their exhibits out of the Exhibition Centre at the end of the Exhibition. Exit passes will be issued only after verification that all charges due have been fully paid by the exhibitor to the Exhibition Authority. The pass should be shown at the gate at the time of exit of the exhibitors and their exhibits from the Exhibition grounds.
All display materials/machineries/spare parts and components should be brought in the Millennium Hall latest by Thursday, February 13, 2020 till 06:00 pm.
There will be NO delivery of display materials/machineries/spare parts and components during the exhibition hours.
The generally accepted safety rules relating to technology, labour safety and accident prevention should be observed in all the display arrangements by the exhibitors. The Exhibition Authority reserves the right to prohibit the display of machines or equipment, if in their opinion, these pose danger and annoyance to visitors and other exhibitors.
Under the conditions of force majeure , which also includes strike, earth quake, lock-out, bandh or riot, war the Exhibition Authority reserves the right to alter the opening dates and durations or even cancellation of the entire Exhibition. In case of cancellation of the Exhibition the stall rental will be refunded to the exhibitors after deducting the proportionate costs already incurred by the Exhibition Authority.
In the event of any postponement/abandonment/cancellation of the exhibition due to any reason beyond the control of Organizer, they shall not be liable for any resultant loss or liability such as natural calamities, civil war and Political disturbance.
The Exhibition Authority shall have exclusive right and use data / information of exhibitors and visitors as per their online application, for marketing / sales / publicity purpose of INDIA ITME SOCIETY EVENTS.
All exhibitors must respect and are liable for ensuring protection for the immaterial rights of other exhibitors and of third parties such as e.g. intellectual properties, patents, trademarks, copyrights etc. for the products, they display at ITME AFRICA 2020 in accordance with current provisions of law. All necessary measures shall be taken by the exhibitor before displaying his products. The Exhibition Authority is exempt from any liability in connection with the violation of immaterial rights by an exhibitor.
Whenever necessary, the Exhibition Authority shall have the right to issue supplementary regulations in addition to these regulations and guidelines to ensure the smooth management of the exhibition. Any additional written regulations or instructions shall form part of the terms and regulations for participation and shall be binding on the exhibitor.
The implementation of these regulations or supplementary stipulations laid down by the Exhibition Authority relating to the exhibition shall be deemed to be domiciled at the office of the Mumbai Courts. All disputes arising from the exhibitor’s participation and from the enforcement of the regulations laid down by the Exhibition Authority shall be judged according to Indian laws and subject to Mumbai jurisdiction.
The exhibitor agrees to comply with all the regulations contained herein and to such other regulations as may be notified by the Exhibition Authority from time to time relating to the participation of exhibitors in ITME AFRICA 2020. Applicants should read all regulations carefully and conform to them fully. Exhibitors must agree abide by the local & site regulations with respect to law and order, safety etc.
The exhibitor agrees to indemnify the Exhibition Authority and its Office-Bearers, Steering Committee Members, Executive Director, officers, employees and members and hold them and each of them harmless from and against any and all claims arising out of the acts of the exhibitor, his agents, representatives and employees, and all contractors, erectors, delivery persons, suppliers and material persons, furnishing services, delivery work or materials at the instance of the exhibitor.
Return, upon termination of the event the site, all materials, and facilities in the same condition received, or shall pay for all damages incurred.
During preparation Organizers can access the facility from 8:00am-4:00pm, & during the show the facility will be open from 8:00am-6:00pm. If Organizers wish to stay after 6:00pm they are required to pay ETB 10,000 per hour.
